Import Email is bringing in two files

I am doing some testing on how best to bring in emails.  I like the idea of the Import Profile for emails and have been successful in getting it to use the date and subject to create the name, but for some reason, it can't seem to pick up the Sender for part of the name.  It is successful in filling the Sender name in the template field, so it is able to recognize that just fine. 

MY CURRENT QUESTION:  Why is this process bringing in to files?  When I drag'n drop the email into LF 10.1, it creates both the Outlook file AND an additional image file with no pages:

The second file is the distribution list, uncheck "File distribution list" in the Outlook options.  It looks like a bug because it should be named "Distribution list for XXXXXX". I have filed a bug report to get that fixed (reference #146549

Also, the email properties such as sender and subject can't currently be used as tokens in the document name. Those custom import profile tokens have to come from the filename, e.g. if the file was named xxxxx-yyyyy.msg you could extract xxxxx and yyyyy as tokens with - as the delimiter.

Thanks!  Taking off the checkmark on "File distribution list" did the trick.

Currently, I have it working somewhat to my liking.

  • I created a template for emails.
  • The template is auto filling the email date, sender name, recipient name and email address, and the subject line of the email.
  • It is naming the document (date) (subject).
  • I would like it to name the document (date) (sender) (subject), but (date) (subject) is better than nothing. 

 

I don't understand why it can pick up the subject and put it in the name, but not the sender.  They are all part of the email header information.  Will await further upgrades to see if this can be done.

I now have Workflow watching for any new emails dropped into the Correspondence\Emails folder.  It will then rename each email to pick up the (Year) (Sender) (Subject) out of the fields.  Much better, but seems like an additional step that might not be necessary.  Hopefully, the programmers will find a way to make this more controllable.  Still, the Import Profile is a great tool!
