Question

keep sending notifications for forms task

asked on July 7, 2016

Hi,

Scenario is that i have user task for which i have disabled notifications since it was sending wrong link and have rather added an email task before it. Everything works fine so far.

What i would like to do is send an email every monday or every 3-4 days if that task is still pending like a reminder that there are forms task approvals pending without using workflow. Is that possible?

Thanks

With Forms 10.1, you can attach a timer to the user task and set the timer to "repeat timer until attached activity is completed" and connect the timer to an email service task to send notification every 4 days:

One thing to keep in mind is that by doing it the way Xuhong suggests does not send a link to complete the task in the email.

Xiuhong, what would you connect to your email task in this example?  I have a process that is currently running and originally I had selected to Interrupt the Activity and connected back to my user task which all functions as I expected.  What I didn't expect was my users saving their draft and when it loops back with Interrupt the Activity it deleted their draft (which makes sense I just didn't expect that).  So I have been trying different varieties of Do not interrupt the activity and have not been successful.  I want my user task to connect with a timer event to remind them to complete the task after every 2 days, email them and still retain the draft if they have saved one.  Is that possible?  Thanks!

You can just connect the email service task to an end event. In the email, you can ask them to open the Inbox page to check their assigned tasks as there is not direct task link can be sent out in the email service task.

In the Process Modeler you can right click on the user task and then select Attach Timer Event. From there you can set the intervals. If you would like the task to stay at that task, make sure to set the timer event to Interrupt the Attached Activity. You will also need to use the arrows and connect the timer back to the user task. So it will look like the following:

This does work, though I usually set mine to not interrupt the attached activity.  The reason is that when it 'interrupts' the task, multiple tasks with the same task name start accumulating in the assignee's task list on the Forms site.  This confuses them.  Since it is interrupted it still shows the task with the old date assigned, as well as assigning the 'new' task with the same name but a newer date.
