Question

Hiding information on Forms

asked on January 23, 2014

Customer has a form that is used by the Public.  However, to ensure there's no issue with someone falsifying information, they want the public to enter in the last 4 digits of the SSN to ensure a level of security.  Is there a way that they can enter this information onto the Form, have the corresponding field information populate a LF template, but then have the information on the Form hidden as the Forms are public forms? (We don't want to use QF to redact as that creates a whole new issue with the process).

Thanks!

Where will the form be publicly available? If it's publicly available after you save it to the repository, there's another way you could go about it. Instead of saving the form the user submits, you could create a different form with variables for the fields that should be publicly available on it.  Then, you could save that form to the repository instead of the form with sensitive information on it.

Do I need to create a Service task to popluate the second form...I'm still getting acclimated to forms.

Sounds like it might be a good way to go.

No, you'll actually create the second form in the Form Designer. You can use variables to populate this form with the values from the first form. See the video tutorials (part 1 and part 2) from Forms 9.0 on using variables for more information.

Are you wanting to do a database lookup based off of the last 4 digits of the SSN so it populates information based on that? I'm a little confused on what you are trying to accomplish.

If you aren't doing a database lookup based off of the last 4 digits, then the only information they can see is what's entered by the user.

No, we're not attempting to do any DB lookup.  The issue is that the Forms are for Public Officials (Governor, Attorney General, etc.) and they are Public Forms...so the concern is having someone from the Public maliciously fill out a Form pretending to be someone else.  To prevent this from happening, they want to be able to have the Public users (no Active Directory) be able to fill out the Form...then include the last 4 digits of the SSN.  We then want to be able to capture the SSN and put that in a template in Laserfiche that is only viewable to the Governing body, however, we want that same SSN hidden on the form so that the public can't see the SSN so that I can't go pull up the Governors last 4 SSN and submit a false form using his Last 4 SSN.  So ultimately, we want there to be a field that is filled out on the Form, but then after submission, that field get's hidden (but we want to capture the data to put in a template).  Nothing with DB Lookups.
