Question

Using Records Management properties in Cloud workflow

asked on March 22

Hello everyone,

I have several clients whom I have built automated Records Management destruction logs for in cloud and on prem. And I have found that there are some RM properties that I am unable to search for or to use conditional decision logic with when using cloud workflow. This information is available in audit trail, but that doesn't help me automate it in workflow. Does anyone know of any workarounds or ways I may have missed to access the following data in cloud workflow?

Final Disposition Eligibility - the date a file is able to be destroyed

Confirm Final Disposition - this is the user who destroyed the file

By the way, Confirm Final Disposition is not easily accessible in workflow on prem systems either. It requires a workaround to pull the data from the Audit Trail binary file as detailed here: https://support.laserfiche.com/kb/1014189/laserfiche-audit-trail-11-frequently-asked-questions-faq

Thanks in advance,

Jeremy Rupprecht

Hi Jeremy,

Would you be able to provide more detail on the RM automated solution/process you are trying to build?

Thanks!

Hi Tesia,

There are two processes that I am trying to build. The first is an automated report listing records that have been destroyed to be saved as a permanent record. Our larger clients who have more than one records manager would like to have a record of exactly who destroyed what.

The second is an automated list of all files that are ready for final disposition. In this case, most of the time I have clients just use the records management search function in cloud, but I do have some clients who are tracking boxes of paper records with dummy entries in Laserfiche. Some of these clients want to be able to send a report to someone not using Laserfiche listing boxes of paper files (dummy entries) that are ready for physical destruction.

Please let me know if you have any further questions.

Thank you!
