Hi!

How can we hide these searches from the users and make a custom quick search the default?

  • Within current folder
  • Document text
  • All fields
  • Entry names
  • Annotation text

 

 

In the everyone attributes, there are settings that are set to Yes for AllowAnnotatinQuicSearch, AllowEmptyTemplateSearch, AllowFieldQuickSearch, and AllowNameQuickSearch, AllowTextQuickSearch.  I changed on to No and it seems like that doesn't do anything.  What are these settings for?

I’m like spreading the gospel over here about this one. I’ve just gone into a “we will train the user on the settings relevant” broken record for so long, this is fantastic! I also implemented it like 10 minutes after finding out about it and it works great.

Set the Lockdown for the Everyone group for QuickSearch.  I also set the [Search]SelectedQuickSearches to blank.  I delete my windows account in the Admin Console.  Launch WebAccess and the out of the box fields displays and are disabled and my custom quick search displays and are enabled.  I select one of my custom quick search, perform a search, and close my browser.  When I launch WebAccess again, my custom quick search does not display but the out of the box fields displays and are disabled.  If I close the browser, delete my windows account, and launch WebAccess again the out of the box fields displays and are disabled and my custom quick search displays and enabled.  Am I setting something wrong?

Hi, Mylene,

 

Unfortunately, there is currently no way to hide the built-in quick search types. When they are locked down, they will all appear as disabled. We can look into changing this behavior so that we hide the search types that are locked down (so if SelectedQuickSearches is blank, we'd hide all of them). I've filed a bug with ID 34905.

 

If you'd like to set one of your Custom quick searches as the default, you can set the [Search]SelectedEveryoneQuickSearches attribute on the Everyone group. The value of this attribute will be the Guid of the custom quick search. When you create a custom quick search, we create a unique ID for it. You can find the Guid of the custom quick search within the XML definition. 

 

In general, we are looking to improve custom quick search customization in our upcoming release.

Hi, Alex

I have tried to set up a default custom quick search called Test but seem to be having no luck.

I'm pretty certain that I have found the guid (45e2259a-f90a-43c0-af19-d2856fc852f8) in the [Search]CustomQuickSearchXml attribute for the user account I created the custom quick search with. I created and saved the this custom quick search in WebAccess. This is the only custom quick search in the repository.

In the Admin Console I then created the [Search]SelectedEveryoneQuickSearches attribute in the Everyone group, clicked on Modify and pasted this string into the Data field.

When I log into WebAccess as a system admin I can see this attribute in the Management - Everyone - Attributes - All Items window. However, I do not see my Test search in the Quick Search drop down menu in WebAccess when I log in using a different user account (different from the user account I used to create the custom quick search).

I was hoping that my Test search would show up in the quick search list with a check mark beside it which, if I understand this correctly, should mean that a user can type something into the search field without having to first select Test from the drop down.

I tried this with WebAccess 10.1 and 10.2.

What have I missed?

Hey, Rob, 

The process that I described in my response is the ability to set the default. However, in order to set the default, the quick search must be made available to the Everyone group in the first place.

 

Since you only have 1 quick search setup in the repository, this is very easy.

1. In the admin account that created the quick search, copy all of the data inside of [Search]CustomQuickSearchXml 

2. Paste this data to the Everyone group's [Search]CustomQuickSearchXml attribute

 

This custom quick search will now be available for all users in the repository. The steps you described seem correct, so your Test search should also have a checkmark next to it by default for Everyone.

Is it possible to have multiple custom quick searches set as the default? If so, how should I enter the multiple GUID strings into the [Search]SelectedEveryoneQuickSearches attribute's data?

Yes, you can set multiple custom quick searches as the default. You can do so by entering each GUID into [Search]SelectedEveryoneQuickSearches, comma delimited with no spaces.

Unfortunately, its not possible to have the quick searches as default AND remove all of the built-in quick searches from being selected by default. At least one has to be selected, which negates the purpose of the defaulting a custom quick search - to make a quick search. All the other options are slow or expand the results too much to be helpful.

Hi Kenny, 

 

That's correct in the latest released version of Web Client 10.3.1. We're addressing that in an upcoming hotfix, due out within the next month. The fix is to users to default to a custom quick search without including a default out-of-the-box quick search.
