Question

Can i hide a process from a submitter?

asked on May 26, 2017

Dears ,

Can i hide a process from a submitter that take actions in the process?

for example, if i am an employee that needs to start a vacation request process, and the request will go to my manager to take decision, but my manager cannot start the process and be the initiator(an employee only can be the initiator) how can i hide the process from the manager to start it ?.

Can this be done ?

Thank you.

Maher Daher.

Hello Maher,

If I understand you correctly, this is definitely possibly and pretty straightforward.

Click the "Design" link in the Forms page header, then click the relevant form. Click the "Access Rights" link in the left-hand column of the Design screen (third option from the bottom). This will load a page like the following:

Click the 'x' to the right of the user for which you want to disable their ability to start the process. This will remove the user from the list of users that are permitted to start the process; however, any users removed in this way are still able to participate further into the process (ie, approve a submitted form, etc.).

Good luck!

Rob

Dear Rob ,

I have tried this solution before posting the question, and it's true that the user will get a user task, but he doesn't have a button submit to click on, because of the submitter role.

Thank you for your reply.

I think we're missing something in translation here. How do managers request vacation if they can't see the form?

That crossed my mind too. However, I've worked with organizations that have different operational protocols for managers and non-managers. Maybe in this case managers do not need approval for a vacation request--maybe they simply put it on their calendar?

Right, it's just not clear to me if that was the case or we're just trying to account for something like making sure the manager doesn't submit vacation requests on behalf of the employee.

Gotcha, thanks for clarifying. I'm under the impression that Maher simply needs to disable managers from starting the employee vacation request process, but I could definitely be off base on this. Hopefully Maher will have a chance to clarify soon! smiley

Dear Miruna,

let me clarify, the manager uses the form only for approvals, not to start any process himself.

that is why, we need to remove the ability for the manager to start a process.

But i am not succeeding, because that manager should be a submitter in the process, and since he is a submitter he always see the process and can start it.

Thank you.
